    Job Title: Archives and Manuscripts Assistant (Library Assistant III)

    The UC Davis Library is hiring two Archives & Manuscripts Assistants (50%-time) who will be tasked with processing manuscripts, archives, and photographic collections. Under the supervision of the Head of Archival Processing, the Archives and Manuscripts Assistants will (1) follow established guidelines for sorting, arranging, listing, and describing personal papers, archival records, photographs, sound recordings, and other non-book materials; (2) create inventories and container lists; (3) analyze documents for topical content and perform related research to provide context or background information for collections; (4) assist with creating processing plans and establishing organization schemes and arranging documents accordingly; (5) takes measures to preserve unstable materials; (6) serves as work leader for students assigned as project assistants.

    Summary of Responsibilities:

    -Arranging collections: sorts and organizes archives, manuscripts, and photographic collections in a manner suitable for research use and following conventional principles of arrangement sanctioned by the Society of American Archivists (SAA) and Guidelines for Efficient Archival Processing in the University of California Libraries. Identifies the research value of materials and identifies documents for restriction based on statutory regulations and repository agreements.

    -Preservation of collections: identifies archives, manuscripts, sound recordings, and photographic materials in need of special preservation measures; boxes, folders, or encapsulates materials in a manner suitable for preservation; carries out preservation photocopying; prepares collections for format migration or digitization; coordinates reformatting projects (magnetic and electronic); makes recommendations to supervisor about materials requiring more advanced preservation treatment.

    -Description of collections: prepares collection finding aids for University Archives, manuscripts, and photographic collections including the topical analysis and related specialized research; the creation of container lists; the composition of scope and content notes, biographical or historical notes, and other descriptive summaries of the collection in accordance to Describing Archives: A Content Standard and best practices guidelines of the Online Archive of California (OAC).

    -Uses Google Docs and Microsoft Office applications and database management software, such as ArchivesSpace, to create collection descriptions.

    Minimum Qualifications

    -Ability to learn how to arrange and describe archival and non-print materials according to accepted national standards and to make logical decisions and to identify hierarchical relationships among groupings of materials and organizational elements.

    -Demonstrated interpersonal and communication skills, including complex writing in English language. Familiarity with basic reference sources (e.g., biographical indexes) sufficient for composing statements about persons and institutions.

    -Demonstrated ability to analyze and resolve complex problems and recommend solutions and ability to learn new technologies and their applications in libraries.

    -Ability to organize and assign priorities to work in order to meet all quality and quantity standards, to follow detailed oral and written instructions with little or no supervision, and to be self-directed and flexible in organizing work so as to accommodate changing priorities and needs.

    -Understanding of basic organizing principles of a research library and knowledge of basic research methods of core disciplines.

    -Knowledge of standard procedures for handling fragile materials and for selecting proper preservation housings and treatments, and the facility to handle materials carefully and safely.

    Preferred Qualifications

    -Knowledge of current national archival and descriptive standards and best practices, including appraising, accessioning, arranging, and describing special collections materials, along with following institutional practices specific to UC Davis Library collections.

    -Knowledge of the collections held by the Library, including general knowledge of subject areas represented by the major collections.

    -Ability to work with colleagues, students, and staff in a helpful, constructive manner.

    -Knowledge of California History, American literature, history of science, Agriculture and Viticulture, or Western Americana.

    -Familiarity with Online Archive of California and Primo.
