The Special Collections' Digital and Print Collections Archivist (SCA) accessions, arranges, and describes records, personal papers, and archives acquired by Special Collections and Libraries division (SCL). This work includes archival appraisal; developing appropriate processing work plans; identifying conservation and supply needs; completing necessary arrangement and rehousing work; authoring finding aids using ArchivesSpace; and working with SCL colleagues to accomplish library and division goals. The SCA reports to the Western Americana Manuscripts Librarian.
Essential Functions:
- Accession, stabilize, arrange, and describe born-digital and analog archival collections in accordance with best practices.
- Work in close collaboration with Library digital initiatives colleagues on ingesting and preserving born digital collections.
- Create finding aids in ArchivesSpace compliant with archival metadata standards such as DACS, EAD, and EAC-CPF. Liaise with the Online Archive of California (OAC) regarding uploading and managing finding aids. Manage SCL's instance of ArchivesSpace.
- Contribute to establishing priorities for efficiently processing archival collections.
- Coordinate with the library's cataloging team on the creation of collection level cataloging records, metadata, and related shared work.
- Assist in the ongoing development, documentation, and implementation of SCL's processing and cataloging procedures for archival collections.
- Collaboratively create and carry out processing plans.
- Support the division's student staff on processing projects, including CCEPS fellows.
- Identify conservation issues in archival collections and collaborate with colleagues to address these concerns as appropriate.
- Liaise with The Claremont Colleges (TCC) to acquire and transfer college records that have been identified as archives.
- Keep and report processing statistics.
Research support
- Contribute to primary source instruction, outreach, programs, and exhibitions, especially when these efforts involve or draw on the archives.
- Staff the reading room, providing reference and research support to users. Communicate policies and procedures to users on the nature and proper handling of collection materials. Ensure the security of Special Collections materials in the reading room.
- Assist users in-person and by chat, email, and telephone.
- Carry out research within the collections as requested.
Collection management
- Manage the archives' stacks; be attentive to the condition of the archives and their storage areas, and alert the division director and supervisor to needed repairs and service.
Special Collections team
- Maintain department archival processing and preservation supplies; order supplies and monitor expenditures.
- Participate as an active and engaged team member by attending SCL meetings to discuss priorities and assist with solutions.
- Contribute to SCL planning and goal setting in support of the library's strategic initiatives.

Required Qualifications
Required Knowledge and Skills:
- Understanding of and experience with archival theory and practice, national standards, relevant legal and ethical regulations, and best practices that govern the arrangement, description, and use of archival materials.
- Demonstrated understanding of research with historical documents, books, manuscripts, and other primary sources.
- Microsoft Office suite; Adobe Pro suite; XML.
- Demonstrated ability to balance and complete multiple projects, set priorities, and work effectively in a rapidly changing environment.
- Ability to work independently, communicate effectively, and work as part of a team.
- Strong interest in promoting the use of archives and special collections to diverse audiences.
- Strong written, verbal, and interpersonal communication skills.
Preferred Qualifications:
- Academic background in the humanities.
- Experience working in a library, archive, or museum.
- Knowledge of confidentiality, copyright, and other policy, legal, and ethical aspects of managing and providing access to archival materials.
- Knowledge of current and emerging trends in archives and/or special collections fields.
Preferred work experience:
- Experience processing archival materials.
- Experience with ArchivesSpace, Encoded Archival Description (EAD), Machine-readable Cataloging (MARC) formats, library-based descriptive standards including Describing Archives: A Content Standard (DACS).
- Demonstrated knowledge of current and emerging practices for preserving archival materials in all formats.
Required Hours: This is a full-time, exempt position. Regular hours may vary due to needs of the organization/business unit.
